# Equipment-rental exchange operation record checklist

Use this checklist to inspect a breakdown or equipment-exchange workflow. It is
educational material, not safety advice and not evidence of a live Koltra product run.

- [ ] The request preserves the customer, rental contract, asset, location, stated condition, operating impact, and source time.
- [ ] The asset and contract are matched in the authoritative rental system before an exchange is promised.
- [ ] Replacement requirements, availability, compatibility, site constraints, and any hold are recorded with provenance.
- [ ] Safety assessment, equipment suitability, commercial exceptions, and dispatch commitments remain with qualified personnel.
- [ ] The replacement hold or reservation records its policy, expiry, duplicate control, and system result.
- [ ] A named logistics or dispatch owner accepted the delivery and recovery plan, including the customer commitment.
- [ ] Delivery, pickup, returned-asset state, replacement-asset state, and unresolved damage or billing work are reconciled.
- [ ] The operation ends as completed, human owned, blocked safe, failed contained, or unresolved.

A reserved replacement is not a completed exchange. Preserve the human authority,
dispatch acceptance, customer commitment, and both asset states.
